This policy applies to personal information processed through our website, online store, quotation and contact forms, email, telephone, WhatsApp and related customer-service channels. We process personal information in accordance with the Protection of Personal Information Act 4 of 2013 (“POPIA”) and other applicable South African law.
3. Personal information we may collect
Depending on how you interact with us, we may collect:
- Identity and contact information: your name, business name, email address, telephone number and communication preferences.

- Account information: username, encrypted password, saved billing or delivery addresses, order history and account preferences.
- Transaction information: products or services requested, quotation and order details, amounts, payment status, invoices, delivery information, refunds and related records.
- Technical and usage information: IP address, browser and device type, approximate location, referring page, pages viewed, actions taken, cookie identifiers and diagnostic or security logs.
- Communications: correspondence and records of enquiries, support requests, complaints or other interactions with us.
Please do not submit identity documents, financial account credentials, medical information or other sensitive information unless we specifically request it and it is necessary for a legitimate purpose.
4. How we collect information
We collect information directly from you when you complete a form, send files, contact us, create an account, request a quotation or place an order. We also collect limited information automatically through cookies, analytics, security tools and server logs. We may receive information from payment, delivery, advertising, analytics or technology providers where necessary to provide a service or measure website activity.
5. Why we process personal information
We may use personal information to:
- respond to enquiries and prepare, discuss or administer quotations;
- plan, manufacture, deliver and install products or perform agreed services;
- create and manage customer accounts, orders, payments, delivery and after-sales support;
- communicate about an enquiry, project, order or service request;
- maintain business, tax, accounting, warranty and legal records;
- protect the website, our customers and our business against fraud, spam, misuse and security threats;
- understand website performance and improve our services, content and advertising;
- send direct marketing where permitted, subject to your right to opt out; and
- comply with legal obligations or exercise and defend legal rights.
Our lawful grounds may include your consent, steps required to enter into or perform a contract, compliance with a legal obligation, protection of a legitimate interest of you or another person, and our legitimate business interests where permitted by POPIA.
6. Quotations, contact forms and uploaded files
Information submitted through Elementor forms or other enquiry forms may be stored in the website’s protected administration area and delivered to our business email. We use it to review your request and contact you. Uploaded plans, photographs or specifications are used only for the enquiry, quotation, project or another purpose explained when they are requested.
Submitting a form does not guarantee acceptance of a project, availability, a final price or the conclusion of a contract.
7. Customer accounts and WooCommerce orders
If you create an account or place an order, WooCommerce may process your contact details, billing and delivery addresses, selected products, order notes, transaction status and order history. Passwords are stored in encrypted or hashed form and are not visible to us as plain text. You are responsible for keeping your login details confidential.
8. Payments, delivery and service providers
Payments may be processed by independent payment service providers. Where applicable, full payment-card details are entered into the provider’s secure system and are not intentionally stored by Furniture Art Company. We may receive limited transaction information such as payment status, reference numbers or masked payment details.
We may share the minimum necessary delivery and contact information with couriers, installers, suppliers or service providers involved in fulfilling your order or project. These parties process information under their own terms or on our instructions, depending on the service.
9. Cookies and similar technologies
Our website may use:
- Essential cookies required for security, forms, shopping-cart functions, checkout, account sessions and basic website operation.
- Preference cookies that remember choices and improve usability.
- Analytics cookies, including Google Analytics, to help us understand visits, traffic sources and website use.
- Advertising and measurement technologies, including the Meta Pixel, to measure advertising performance, understand actions taken after an advertisement and support relevant advertising.
You can control cookies through your browser settings and any consent controls made available on the website. Blocking essential cookies may prevent the cart, checkout, login or forms from working correctly. Google and Meta may process data according to their own privacy policies and settings.
10. When we share personal information
We do not sell personal information. We may share only what is reasonably necessary with:
- website hosting, maintenance, security, email and cloud-service providers;

- Google, Meta and other analytics or advertising providers, subject to applicable settings and consent requirements;
- public authorities, regulators, courts or law-enforcement bodies where required or permitted by law; and
- a purchaser, successor or adviser in connection with a legitimate business reorganisation or transaction, subject to appropriate confidentiality safeguards.
11. Cross-border processing
Some technology, analytics, advertising, email, cloud or payment providers may process information outside South Africa. Where personal information is transferred internationally, we take reasonable steps to use providers and safeguards consistent with POPIA’s requirements for cross-border processing.
12. Security
We use reasonable technical and organisational safeguards intended to protect personal information against loss, misuse, unauthorised access, alteration or disclosure. These may include access controls, encryption in transit, security monitoring, updates, backups and restricted administrative access. No website, transmission or storage system can be guaranteed completely secure.
13. Retention
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including quotation follow-up, project delivery, warranties, customer service, accounting, tax, fraud prevention, dispute resolution and legal obligations. Retention periods vary according to the record and applicable law. When information is no longer required, we take reasonable steps to delete, destroy or de-identify it.
14. Your POPIA rights
Subject to applicable law and appropriate identity verification, you may request to:
- confirm whether we hold personal information about you;
- access the personal information we hold;
- correct or update inaccurate or incomplete information;
- request deletion or destruction where legally permitted;
- object to certain processing;
- withdraw consent where processing depends on consent; and
- opt out of direct marketing.
We may need to retain certain records despite a request where required by law, necessary for a contract, or needed to establish, exercise or defend legal rights.
15. Direct marketing
Where permitted, we may send information about our products, services or projects. You may opt out at any time by using the unsubscribe method in the message or contacting us. Service, quotation and order communications are not marketing and may still be sent when necessary.
16. Children
Our website and services are not directed at children, and we do not knowingly collect children’s personal information without appropriate authorisation. A parent or guardian who believes a child has submitted personal information should contact us.
17. External links
Our website may link to third-party websites or services. Their privacy and security practices are governed by their own policies, and we are not responsible for those independent practices.
18. Changes to this policy
We may update this Privacy Policy when our services, technology or legal obligations change. The revised policy will be posted on this page with a new effective date. Material changes may also be communicated through an appropriate website notice or direct communication.
